Accounts Payable Data Entry Specialist
JOB DESCRIPTION SUMMARY:
Under the direction of the Accounts Payable Manager, the Accounts Payable Data Entry Specialist is responsible for timely and accurate data entry of vendor invoices and supporting documentation. This position communicates regularly with internal invoice approvers and external vendors, subcontractors and suppliers via phone and email.
RESPONSIBILITIES:
Compile, process and maintain accounts payable source documents electronically
Able to process and enter up to 450 invoices per week
Code invoices and attach support documentation
Update and maintain vendor database including updating W9, vendor insurance and vendor service agreements
Record sales taxes by calculating requirements on invoices
Distribute Tax Exempt Certificates to subcontractors and material suppliers
Communicate with vendors/suppliers and internal employees to resolve discrepancies
Set up services (Phone/Internet/Electric, etc.) at job sites/turn off when job is over
General Office Duties include filing, faxing, and mailing
Backup Front Desk position when necessary
Protect organization’s value by keeping information confidential
Update job knowledge by participating in educational opportunities
Process and follow-up on rush items
QUALIFICATIONS:
2+ years experience in accounts payable
Accurate & fast data entry skills
Ability to prioritize and to multi-task in a fast paced environment
Ability to handle confidential information in a discreet, professional manner
Eye for detail, accuracy is imperative
Able to meet deadlines
Excellent oral and written communication skills
Excellent organizational and analytical skills
Ability to be an effective team member and display initiative
Proficient with MS Office 365, Timberline/TimberScan experience desired
Familiar with construction industry a plus
General math skills
Work well with numerous distractions throughout the day
Understands sales tax and exemptions
